Sound familiar?

It works, until you take on more staff and more vans. Then the admin eats your week.
How things work now, and with an Evryday system
NowWith an Evryday system
Job sheets come back crumpled on a Friday, if they come back at all.Filled in on site with photos and the customer’s signature, in the office before the van leaves.
Holiday requests on scraps of paper and in the WhatsApp group.Asked for on the phone, approved in one tap, and on the plan for the week.
Van checks nobody does until something goes wrong.A two-minute check before leaving the yard, defects logged with a photo, MOT dates flagged early.
Certificates run out and you find out when a client asks.Every ticket and training record with its renewal date, listed before it’s due.
Evenings typing handwritten notes into spreadsheets. It’s already in there. Export it when an accountant or a client needs it.

What we build

Each system is put together from the parts your business needs, then shaped to how you work. Start with one and add more as you grow.
Weekly plan and job scheduling
Who’s where, in which van, all week. Changes go straight to their phones.
A phone app for crews
Today’s jobs, the forms they need and the site details, on the phone they already carry.
Job sheets with photos and signatures
Before-and-after photos and a signature on the screen. A dated record of every visit.
Vehicle checks and defects
A short daily check, defects with photos, and MOT, tax and service dates in one place.
Certificates and training
Tickets, cards and training records with their expiry dates.
Holiday requests
Requested on the phone, approved by you, visible when you plan the week.
Documents to read and sign
Handbooks, policies and site paperwork sent out and signed on the phone.
Timesheets
Hours against the right person, job and site, ready to check and export.
Customer and site records
Contacts, access notes, hazards and job history for every site.
Quotes and invoices
From the same job details, without typing anything twice.
A portal for your customers
Your customers see their own jobs, photos and reports without ringing the office.
NFC tags for vans and sites
A tap on a tag in the van or at the site opens the right check and records who was there.

Something else? If you can draw it on a whiteboard, it can be built. Tell us what you need.

Looked after, not just handed over

Most small software jobs end the day it goes live. Ours don’t. This is what your monthly support pays for, and you’ll see it in a report every month.
  • Checked every five minutes

If your system stops answering, I’m told straight away, usually before your staff notice.

  • Backed up every night, test-restored every week

A full encrypted copy every night, kept separately, and actually tested by restoring it every Sunday.

  • Security checked daily

Your live system is checked every day for the common mistakes that cause data leaks.

  • Errors spotted as they happen

If something goes wrong on a phone or in the office, I see it with the details, often before anyone reports it.

  • A monthly report you can actually read

On the first of each month: what changed, how it’s being used, uptime, backups and security, in plain English.

  • Your domain and the small print watched

Domain renewals and certificates are tracked, so nothing quietly expires.

How it works

No jargon, no six-month project, no lock-in.
  1. 1

    A chat

You show us how it works now: the paper, the spreadsheets, the WhatsApp groups. About an hour, and free.

  2. 2

    A £300 scoping session

We map it properly and give you a written plan and a fixed price. The £300 comes off the build if you go ahead, and the plan is yours either way.

  3. 3

    We build it with you

You see working software early and tell us what to change as it comes together. No disappearing for months.

  4. 4

    Live, and looked after

We move your existing records across, show your team how it works, then keep it running, backed up and up to date.

Bespoke doesn’t mean tens of thousands

Fixed prices agreed before we start. No per-seat fees, so taking on staff costs nothing extra.

Every build starts with a £300 scoping session, taken off the price in full if you go ahead. Half on signing, half when it’s live.

A small team, round the corner

Evryday Systems was started by Courtney McRae in Benfleet, Essex, after meeting too many owners who were drowning in paper, being sold software that didn’t quite fit, or quoted agency prices with far too many zeros.

There are no call centres and no account managers. You talk to the person building your system, in plain English, from the first chat to long after it’s live.

Questions people ask

What’s the difference between this and off-the-shelf software?

Off-the-shelf software gives every business the same tools and you work around the gaps. We build around how your jobs, staff, vans and paperwork already run. If an off-the-shelf product would do the job properly for less, we’ll tell you and point you to it.

How long does it take?

Weeks, not months, depending on the size. You get a timeline with your fixed price, and you see working software early so you can tell us what to change as it comes together.

Will it work on phones out on site?

Yes. The crew side is made for phones first: big buttons, short forms, photos from the camera and signatures on the screen. The office side is made for a desk.

What happens to our data?

It’s yours. Every table exports to a spreadsheet from inside the system whenever you like, and on request we’ll hand over a full copy including every photo and signed document. It’s stored in London and backed up every night.

Are we tied in?

No. Thirty days’ notice either way and no long contract. If you leave, you keep a permanent licence to use your system and everything built specifically for you.

What if we grow or change how we work?

The system changes with you. Small changes are included each month; bigger ones get their own fixed price before we start. There are never per-seat fees, so taking on staff costs nothing extra.

Who actually builds it?

Courtney McRae, who founded and runs Evryday Systems in Benfleet. You talk to the person building your system, start to finish.
